Planning
We will need several parents to assist with logistics to make summer camp successful. If you can help with any of these, please send an email to scoutmaster@ashburntroop1154.org or committeechair@ashburntroop1154.org .
Summer Camp Coordinator: This position helps coordinate all summer camp registration and logistics. You do not need to attend camp.
Summer Camp Merit Badge Signup Coordinator: This person helps coordinate all the merit badge selections from each scout at the time needed.
Troop Trailer pull: Someone with a large truck can pull the trailer to and from camp. This person does not need to stay the entire week at camp, but it could be 4+ hour one-way drive from Ashburn.
Assistant Scout Masters who are planning to stay at summer camp all week.
Troop Doc - a parent who stays at summer camp and helps administer medication to the scouts.

Merit Badge Sign Up
Scouts are encouraged to review Merit Badge offerings and make their selections soon after registration to ensure spots are still available in the merit badges they would like to take. Scouts must be paid in full to register for merit badges.
The merit badge selection for each scout is available only on a first-come, first-served basis after full payment is submitted for that scout. The more popular sessions may fill up quickly, so if there's a merit badge you want to take, please be sure to submit payment and your selections by the following dates.
Please note that although you may pay by the given date, it doesn't guarantee that you have registered. The summer camp adult volunteers will attempt to register you for your desired merit badges if the desired merit badge slots are not filled.

Medical Forms
All scouts and adults attending summer camp need a pre-participation physical. To complete the full registration process, you must submit the BSA Annual Health and Medical Record form sections A, B, C, and NCAC-Health-Advisory no later than the Thursday before summer camp! Note that Part C requires a doctor's signature and must be dated within the last year.
Medical forms must be printed and dropped off to the Summer Camp Adult Coordinator at any scout meeting. Digital copy in email is not acceptable.
Special Dietary Needs
Please be on the lookout for and promptly respond to Food restrictions and dietary needs from communication.
Departure:
We will meet at ERMS at 7 AM (Sunday, June 16, 2024, at 07:00 am) as we need to be at camp before 1 pm.
We will be stopping for lunch. Scouts should either bring money to purchase lunch (McDonald's) or bring a packed lunch.
Scouts should be in Class A shirts (tucked in), pants/shorts, and belts: no Neckerchiefs or slides.
They will also be in Class A on the return journey.
COVID Update:
Camp COVID-19 Guidelines are subject to change as the CDC and the state may change their guidelines.
If your scout does not want to share a tent, please bring your tent or hammock. Scout must pitch the tent and sleep to earn the tent nights.
We are also recommending that scouts bring a chair. It is very helpful for scouts during merit badges/programs.
Packing List:
Please label everything with Scout’s name and 'Troop 1154'.
Review suggested packing list at Summer Camp Packing list
It is recommended that the scouts use the tent provided by and at Summer Camp.
For your information, in case scouts need a bug net, the "SANSBUG 1-Person Popup Screen Tent (Tarp Floor)" has worked well in the past for our scouts.
Personal First Aid Kit: It's always better to be prepared for minor injuries or illnesses
Packing essentials: Don't forget to pack for a Rainy and possibly Chilly week (Yes, we have had that in some of the previous summer camps in June).
Clothing layers - sweatshirts and hoodies get colder in the evening/night.
Raincoat - expect the uninvited rain at camp. Ponchos will not stand all week.
Closed Toe Shoes - for walking daily through programs and another pair for showers/around the campsite. Think, will it get wet?
Personal lights for evenings and nights with batteries that will last through the week. Mobile phones as light are a Safety hazard. There will not be any mobile charging area.
Water bottle and/or hydration pack to fill daily and carry throughout the day
Extra drying towel. Swimsuits for anyone doing swimming/water activities. One-mile swimmers can bring a wet suit for the water at low 50s temp.
Raincoat, Extra Socks, Sleeping bag, flashlight/headlight, toiletries, sunscreen, insect repellent, appropriate clothing, and a water bottle.
Repeating myself, a daypack or backpack that you can carry around the entire day with your daily essentials: a Raincoat, Extra Socks, flashlight/headlight, sunscreen, insect repellent, clothing, a First aid kit, and a water bottle.
Food for camp:
All food for the week is provided at the summer camp. Please remind scouts that there should be NO FOOD at our campsite, especially in tents. Last year, we had a Bear at our campsite.
Please do not send snacks, candy, etc. with your scout.
Most Summer Camp places Troop goes to have large, well-equipped dining halls that serve three meals daily during camp. Coffee is available for Leaders. No additional details on the menu for the week were provided.
Trading Post:
Base camp does have a Trading Post where scouts can buy souvenirs, candy, cold drinks etc.
They take cash.
It's a good idea to send some money with the scouts so they can buy some stuff at the Trading Post. Pack the money for the Trading Post separately from the money for food on the way to camp and back.
Some parents with previous Summer Camp experience say $100-$120 is good for the week.
Medical Forms:
This is just a reminder that we cannot take your scout if we do not have all the necessary medical forms before Sunday's departure.
This is not us being difficult - camp staff will be checking forms and will not allow scouts to stay at camp without them.
Health Insurance Card:
Everyone must provide a copy of the health insurance card and the above medical forms (A, B, C).
Medications:
The prescriptions for each Scout who needs medication must be handed over by the parent to the adult leaders.
The adult leader with a medic role will remind and give out the medication to the scout.
Please fill and print the medication dosage form: https://scoutingevent.com/Download/599107632/OR/Prescription_Medical_Dosing.pdf
If you have questions about forms, please get in touch with the adult coordinator and/or Scoutmaster email at summercampreg@ashburntroop1154.org
Please label everything with Scout’s name and 'Troop 1154'.
